What You Need To Know: New SWIMS Database


Tomorrow is our September 1, 2022 launch of the new SWIMS database. Here are the updates you need to know:

Online Member Registration (OMR)

  • Membership registration and renewal will be moved online.
  • Club Administrators can prepare for the launch by activating team management software, managing/establishing club offerings and updating club staff.
  • An integration of USA Swimming’s OMR with team management software providers will be available on September 1, 2022.
    • Team Management activation demos are available on the SWIMS Resource Hub.
    • Additional questions on team management integrations can be directed to team management software providers.

New USA Swimming Accounts

  • USA Swimming accounts can be created starting September 1, 2022.
  • All members are required to create a new USA Swimming account.
  • All existing members are required to link their new membership ID to their existing membership ID.
    • Your new membership ID is different than your existing ID.
      • You can request your new membership ID during account creation.
      • If you do not receive the email with your new membership ID, please reach out to your Club Administrator. Your Club Administrator can search for your ID in the new SWIMS database and share the ID with you.
    • By linking to your new USA Swimming ID, historical data and permissions are automatically added to your new account (e.g.: registration data, APT status, background check status, etc.).

Coaching Certification Program

  • All coach certification requirements will be completed through a single, user-friendly dashboard on your new membership account.

Officials Tracking System (OTS)

  • With the launch of USA Swimming’s new SWIMS database on September 1, 2022, there will be temporary interruptions to the OTS.
  • OTS Meet Tracking will be the first portion of OTS to relaunch. OTS Meet Tracking will launch October 3, 2022. Meets will already be loaded into SWIMS by LSC sanction chairs. Officials, sessions and positions worked will be input for each OTS meet. One of the benefits of SWIMS 3.0 is sessions are already created for all meets, so it will be much simpler to set up OTS meets.
  • National Officials Certification Application, Workflow Approvals and Officials History will become available again December 5, 2022. Updating current National Officials Certifications or adding new National Officials Certifications will not be available until December 5, 2022.
  • The release date for an updated Online Officials Testing application is still being determined. In the interim, certification tests will be available using Google Forms.
  • LSC Officials Certifications will be temporarily interrupted starting September 1, 2022. USA Swimming and the USA Swimming Officials Committee are giving LSCs the option to extend their current officials certifications for an additional year. LSCs will be able to manually enter LSC Officials Certifications starting December 5, 2022.

Athlete Protection Training (APT)

  • Since 2019, USA Swimming adult athlete members have been required to complete Athlete Protection Training (APT) as a requirement of membership. In 2019, USA Swimming built an administrative grace period to give athletes 30 days after their 18th birthday to complete the requirement. Effective September 1, 2022, there will no longer be a 30-day administrative grace period.
  • Any 17-year-old athlete who has not completed the APT requirement by their 18th birthday will not be a USA Swimming member in good standing unless or until the APT requirement is completed.
  • Athletes will continue to receive a notification reminder 60 days prior to, 30 days prior to and on their 18th birthday.
  • All USA Swimming members aged 18 years old and older are required to complete APT annually. This is the individual’s responsibility and includes both athlete and non-athlete members.

Scholastic All-America

  • Scholastic All-America application period will be closing early. The new deadline for submitting applications is August 31, 2022.

Learn to Swim (LTS) and Pre-Competitive Programs

  • A new user-friendly dashboard will be created which will include the ability to add staff, update primary contact information and edit facility information.
  • To continue to be listed on USA Swimming’s Find a Provider search tool, LTS providers will have to manually reapply to the Swim Lesson Provider Network starting October 3, 2022.
    • This means LTS and pre-competitive program contacts will not be included on the Find a Provider search tool between September 1 – October 2, 2022.
    • Website link will be sent to current LTS provider and pre-competitive program contacts.
  • Starting January 1, 2023, LTS providers applying for participation in the swim lesson provider network will incur an annual listing fee of $50.00.
  • USA Swimming member clubs are exempt from the LTS listing fee.

Safe Sport Club Recognition (SSRP)

  • The ability to submit for SSRP recognition will be on hold from September 1 – November 1, 2022. Clubs can continue to attend trainings to work towards approval, which will automatically populate in your club portal when it is available.
  • Clubs who are currently SSRP recognized and have a renewal deadline between September 1 – October 31, 2022 will be given an extension to renew their SSRP status until January 31, 2023.
  • Based on member feedback, and to provide greater transparency of your club’s progress in achieving SSRP approval, your USA Swimming SSRP club portal will track names of your club participants who have completed SSRP training online. This will allow the individual managing your club SSRP status to view who has completed the athlete or parent training through the new Coaching Certification Program.

Club Recognition Program (CRP)

  • With the launch of SWIMS on September 1, old CRP standards will no longer be available. On November 1, new requirements will be enforced. This means there will be two months when clubs will not be able to submit CRP for approval. For those looking to have approval of current standards, the deadline to submit is August 31, 2022. Please be aware that those CRP certifications measured on current standards will only be valid through December 31, 2022.
  • To increase functionality of the CRP, USA Swimming member clubs will now be able to submit qualifications into SWIMS directly. This allows clubs to utilize previously uploaded information from SWIMS directly into their club portals.
  • New standards for Level 1 and Level 2 will be available November 1, 2022. Level 3 and Level 4 standards will be available in conjunction with the 2024 Paris Olympic Games.

Swim-a-Thon (SAT)

  • The ability to submit your clubs SAT results and donation electronically via the website dashboard will be on hold between September 1 – October 31, 2022. During this time, clubs are asked to submit SAT contracts through this form.
  • Clubs can still submit donations electronically by emailing swimathon@usaswimming.org to receive a secure payment link. They can also make payments by mailing a check to USA Swimming headquarters.
