Commercial General Liability Insurance Renewal

USA Swimming is excited to announce the successful renewal of its Commercial General Liability, Excess Liability, and Participant Accident insurance policies for 2026 (1/1/2026-1/1/2027). We are contacting you now with an insurance broker update and instructions for obtaining Certificates of Insurance (Certificates) for 2026.

Insurance Broker Update: We have exciting news for our membership. After an extensive RFP process, USA Swimming selected EPIC Insurance Brokers and Consultants (EPIC) as its new insurance broker.

Background on EPIC: For over thirty years, EPIC has worked in partnership with National Governing Bodies (NGBs) to support their mission and serve their membership. They have expertise in our risk exposures, working with over 25 NGB clients, over 200 amateur sports associations, professional sports leagues, teams, and venues, providing risk management and insurance solutions for over 100,000 sports events per year.


Broker Transition: We are working with our 2025 broker, IOA, and 2026 broker, EPIC, to make the transition as smooth as possible. From now until the end of February 2026, you will continue to submit Certificate requests through the same link and online form as you have in the past. 

  • 2025 Certificates - IOA will continue issuing Certificates for the 2025 policy through the end of this year. If your request is for the 1/1/2025-1/1/2026 term, IOA will complete this and email your Certificate.
  • 2026 Insurance Certificates Current Process – If your request is for the 1/1/2026-1/1/2027 term, EPIC will now complete this request and email your Certificate.
  • 2026 Insurance Certificates Future Process – Beginning in March of 2026, you will complete Certificate requests using EPIC’s online form. We want to make you aware of this coming change and will provide separate communications with instructions as we get closer to the change date. 

Insurance Certificate Request Instructions:
  • Online Request – To request Certificates for up to four facilities, complete the form here.
    • Note: If you have already submitted an online Certificate request for 2026, you do not need to do so again. EPIC is issuing those now in the order they were received.
  • More than four facilities – If you need Certificates for more than four facilities in 2026, email your request to USASWIMCOI@epicbrokers.com. Your email must include your club's full name, city and state, the name of the facilities, their addresses, and an email contact for each facility. The facility details can be in spreadsheet format, including columns for facility name, address, and contact.

EPIC will monitor and respond to 2026 Certificate requests 9:00 a.m. – 5:00 p.m. (Eastern)/7 a.m. – 3 p.m. (Mountain) Monday through Friday. The EPIC Service Team will email your facility and club a completed Certificate. This email will come from SportsPortal@epicbrokers.com.  There will be an influx of requests due to the renewal, so please allow 3-7 business days to receive your Certificate. During non-peak request times, turnaround time is around 1-5 business days. If you require custom language or endorsements, please allow additional time for review and coverage confirmation. As a reminder, below you will find the list of Insureds and Covered Activities under USA Swimming’s General Liability and Excess Liability insurance:

Insureds: USA Swimming individual members (including but not limited to member athletes, coaches, officials, and other members), group members (including member clubs and organizational members), and volunteers; but only while such parties are acting in their capacity as such with respect to events and related activities organized, operated, sanctioned, or approved by USA Swimming, Inc. or any of its Local Swimming Committees (LSCs). 
 
Covered Activities: 
Covered activities include events and related activities organized, operated, sanctioned, or approved by USA Swimming, Inc. or any of its Local Swimming Committees (LSCs):

Swim Meets
Competitive pool swimming events, including world, national, regional, and local swimming competitions.

Open Water Competitions
Competitive open water swimming events, including national, regional, and local open water swimming competitions.

Swim Practices and Dryland Training Activities 
Swimming practices (pool and open water), dry land training activities, camps, and learn to swim programs where participants are USA Swimming members or U.S. Masters Swimming members and under the direct and active supervision of a USA Swimming member coach. 

Organized Practices
Recreational swim meets hosted by a USA Swimming member club with local swim teams that are not USA Swimming member clubs.  Coverage is subject to underwriting review, approval, and payment of additional premium.

Swim Tryouts
Swim practices where a swimmer who is NOT and has NEVER been a USA Swimming member participates in swimming activities with a USA Swimming member club for up to a maximum of thirty (30) days from the first day of practice. Tryout swimmers may not participate in more than one tryout period within the same twelve-month span.

Swim-A Thons
Swim-A-Thon fundraising events sponsored by or registered with USA Swimming, Inc.

Educational & Safety Training Programs (for member coaches)
Safety Training for Swim Coaches, including in-water training, CPR & AED training, and Lifeguard Certifications (all the prior training activities through approved agencies):  all training conducted by USA Swimming member coaches who are member representatives of one of the approved agencies, and providing training to member coaches or members completing the requirements to become a member coach.

Observed Swim Meets
Coverage is limited to the activities of the USA Swimming official acting in their capacity while assigned to observe the event for compliance with USA Swimming’s technical rules.

Approved Social Events & Fundraising Activities
Approved social events and fundraising activities for member clubs or organizational members, including beginning/end of season parties, awards banquets, meetings, retreats, car washes, concession stand work, bake sales, parades (walking only, no riding/driving), info booth at community events, etc.
